Faculty/Staff Voice Portal and Voice Mailbox
The main extension to the Voice Portal is 7550. Within the voice portal you’ll have the following options:
- Press 1 to access your voice mailbox.
- Press 3 to access the greetings menu (For recording your name).
- Press 4 to change your call forwarding options.
- Press 5 to record a new announcement (For recording your voicemail greetings).
- Press 8 to change your passcode.
- Press 9 to exit the voice portal
- Press # to repeat this menu
Initial Voicemail Configuration…
- To access the voice portal from an office phone, use one of the following methods:
- Dial 7550
- Dial *86
- Press the Envelope key on a Polycom phone
- When asked for the passcode, enter 878626 (TRUMAN). This passcode is assigned to the mailbox by default when the passcode is reset.
- Once logged in, the system will prompt you to change the passcode. The passcode must meet the following requirements:
- Contain 6-10 digits.
- Contain no more than 2 repeating numbers.
- Contain no more than 2 sequential ascending or descending numbers.
- Cannot be a previously used passcode.
- Cannot be repeating patterns.
- From the main menu, press 3 to record your name and follow the prompts.
- From the main menu, press 5 to record a new voicemail announcement.
- Your mailbox should be configured now.
Checking your messages…
From your desk phone:
- Using your office phone, use one of the following methods to access the Voice Portal.
- Press the Message key on your Polycom phone.
- Dial 7550
- Dial *86
- Enter your passcode followed by the # key to log in.
- Press 1 to access your mailbox.
After listening to a voice message, you can press ‘7’ to delete the message or ‘#’ to save the message. If you hang up after listening to a new message and do not choose an option, the system will keep the message as new.
From another phone on campus:
- Use one of the following methods to access the Voice Portal.
- Press the Message key on your Polycom phone.
- Dial 7550
- Dial *86
- At the password prompt, press the * key.
- Enter your 4-digit extension followed by the # key.
- Enter your passcode followed by the # key.
- Press 1 to access your mailbox.
From external line:
You can access the Voice Portal from any phone off-campus to change forwarding options or to access your voice mailbox.
- Dial 660-785-7550 to access the Voice Portal.
- At the prompt, enter your 4-digit extension followed by the ‘#‘ key.
- Enter your passcode followed by the ‘#‘ key.
- Enter 1 for voicemail or listen for other options.
Voicemail to email option:
By default, everyone’s voicemail messages are stored in the voice portal and sent to their email as an audio file. Messages that are no longer needed should be deleted from the voice portal to avoid the mailbox becoming full. If a message is played through email, it must still be removed from the voice portal separately.
Voice messages can be configured to go strictly to the voice portal, strictly to email, or sent to both. To have voicemail sent to email only, please delete all current messages from the voice portal and then email your request to phones@truman.edu. Please include your extension and the email address you wish the messages to be sent to.
The Greetings menu…
- Press 2 to change your mailbox busy greeting.
- Press 3 to change your mailbox no answer greeting.
- Press 4 to change your mailbox extended away greeting.
- Press 5 to compose and send a new message.
- Press 8 to modify the message deposit settings for your mailbox.
- Press * to go to the compilot voice portal.
- Press # to repeat this menu
