Why can’t I pick up the other lines I see ringing on my Polycom phone?
Make sure you press the line button(the one that is blinking) before you pick up the handset. If you pickup the handset first and then press the line key, your phone will try to call that person.
Can I still use my same long distance authorization code?
Yes. If the code has been used since January of 2015, it will be active on the new system. We have discontinued personal codes but employees are welcome use calling cards with their office phone.
Why does the audio sound so different when I call Polycom to Polycom?
Traditionally, white noise or background noise is constant during a call. Sometimes this “comfort noise” is actually injected into the call. Polycom phones are designed to filter out the white noise or “comfort noise” and provide a much clearer “HD” quality voice signal. An HD symbol will appear on the display when calling from one Polycom phone to another Polycom phones.
How do I know if I have a voice message?
There will be an indicator light on your phone or a stutter dial tone will be present when the receiver is picked up. You can also receive the voice message in an email. By default the voicemail to email option is set up.
What if I don’t know the passcode for voicemail?
The default passcode is 878626. If you forgot your passcode, contact the ITS Service Center to reset the passcode.
Do I need to dial 9 to get out?
You do not have to dial 1, 8, or 9 for outbound calls. The system will know if it a long distance call and prompt you for your LD authorization code.
The caller ID or phone displays the incorrect name or the name is spelt wrong. How do I change this?
You will need to contact ITS Service Center and notify them of the name and the extension the name is associated with so that it can be corrected.
Is there a certian headset I need to work with the phone?
Plantronics or Jabra headsets work well with the Polycom phones but will need the correct adapter cables. Email phones@truman.edu with your chosen headset model information and we can advise you on which adapter cable to purchase with the headset.
Why does the Transfer option hang up on me?
The old Meridian phones used “conference”(three-way call) as the transfer option. We just labelled it “transfer.” You were able to say on the line after the transfer and have a three-way call. If you would rather transfer calls that way, use “Conference” instead of “Transfer.”
Can I transfer using an analog phone?
For now, the Transfer feature is not standard and you need to request the transfer feature by emailing phones@truman.edu.

- During a call, press “Flash”. The initial call is held.
- Dial the number you wish to transfer the call to.
- When the person answers, you may speak to them privately or press “Flash” to cancel.
- When you hang up, the call will be transferred.
Why does my message waiting indicator stay on?
After listening to a voice message you either have to press ‘7’ to delete the message or ‘#’ to save the message or the system will still keep the message as new, even if you have already listened to it.
